Booking Terms & Conditions
1️⃣ Booking Deposit

A non-refundable deposit paid via bank transfer is required to secure your date and will be deducted from your final balance.

This fee covers administrative costs and guarantees your booking.

Your booking will be confirmed upon receipt of the deposit.
2️⃣ Final Payment
-
The remaining balance is due 7 days before your event via bank transfer.
-
We will send a reminder before the due date.
-
If payment is not received on time, NE4 DJs reserves the right to cancel your booking, and your deposit will be forfeited.
Cancellation & Refund Policy
3️⃣ Cancellation by Client
If you need to cancel your booking, the following charges will apply:

60+ days before your event: No further payment required (deposit retained).

31–59 days before your event: 50% of the remaining balance payable.
-
0–30 days before your event: Full remaining balance payable.
All cancellations must be made in writing (email, SMS, or WhatsApp) and will be acknowledged by NE4 DJs.
4️⃣ Rescheduling

Please contact us as soon as possible if you need to reschedule your event.

We will do our best to accommodate your new date, subject to availability.

Your deposit will transfer to the new date.
5️⃣ Cancellation by NE4 DJs

In the unlikely event that we need to cancel due to unforeseen circumstances, we will provide a full refund of all payments made, including your deposit.

We will assist in finding a suitable replacement DJ where possible.
6️⃣ Force Majeure
NE4 DJs will not be liable for cancellations, failure to perform, or delays due to circumstances beyond our reasonable control, including but not limited to:

Natural disasters (flood, fire, severe weather, earthquake)

Pandemics or epidemics and related restrictions
-
Government restrictions or lockdowns
-
National emergencies
-
Acts of terrorism or war
-
Strikes affecting transport or venues
-
Power outages not caused by your negligence
-
Any other circumstance making it impossible or unsafe to perform
We will work with you to reschedule where possible. If rescheduling is not possible, payments made (excluding the deposit, which covers initial costs) may be refunded at our discretion depending on the circumstances.
Priority & Proof of Force Majeure

Your booking will be prioritised for a new available date in the event of Force Majeure.

If rescheduling is not possible, a fair partial refund may be offered.

We may require documentation to verify a Force Majeure claim (e.g., venue closure notice).
7️⃣ Media for Promotion

We may capture short video clips or photos during your event for promotional use on social media unless you request otherwise in writing before your event.

We will always aim to be respectful of your privacy and, where possible, will avoid filming the bride, groom, and your guests directly. We may also blur faces in any footage if needed to help protect your and your guests' privacy.
8️⃣ Client Responsibilities
✅ Venue Access
You are responsible for ensuring NE4 DJs has safe and adequate access to the venue for setup and pack-down, including:

Sufficient setup time and space

Loading access and parking for equipment delivery and collection

Use of lifts; there may be additional charges for carrying equipment up stairs or long distances.
✅ Power Supply
You must ensure a suitable and reliable power supply is available at your venue to operate DJ equipment safely.
✅ Venue Licensing
You are responsible for confirming your venue holds the appropriate entertainment and music licenses required for your event.
✅ Health & Safety Compliance
You are responsible for ensuring the venue complies with all relevant health and safety regulations to allow NE4 DJs to perform safely.
✅ Guest Conduct & Equipment Care
You are responsible for ensuring your guests behave appropriately around DJ equipment during your event. You will be liable for any damage caused to our equipment by your guests.
✅ Food & Drink Near Equipment
You must ensure guests do not place food or drinks on or near DJ equipment to prevent damage.
✅ Sound Limiters & Venue Restrictions
You must inform NE4 DJs if your venue uses sound limiters or has specific noise restrictions, as this may affect performance.
✅ Use of Venue Sound & Lighting Systems
If NE4 DJs is required to use the venue’s in-house sound system, lighting, or any third-party equipment provided by the venue, we will operate these systems with reasonable care; however:

We are not responsible for the quality, reliability, or performance of the venue’s equipment.

Any technical issues, malfunctions, or failures of the venue’s sound or lighting systems are the responsibility of the venue.

If a technical fault with the venue’s equipment prevents or disrupts our performance, NE4 DJs will not be liable for any interruptions, reduced service quality, or failure to perform as a result.

We recommend confirming with your venue in advance that all sound and lighting systems are tested, fully functional, and suitable for your event needs.
Where possible, NE4 DJs recommends using our professional sound and lighting equipment to ensure the highest quality, reliability, and continuity of service for your event.
✅ Other Entertainment & Equipment Use
If you have arranged any other forms of entertainment (such as singers, musicians, dhol players, dancers, or performers) who may require the use of our sound system, microphones, or other equipment, you must inform NE4 DJs in advance.

Pre-Agreement Required:
Any use of NE4 DJs’ equipment by other entertainers must be pre-agreed with us in writing before your event. -
Technical Requirements & Compatibility:
Additional equipment may be required depending on the specific needs of the performers (e.g., extra microphones, instrument connections, monitors, or mixing requirements). -
Additional Charges:
Any additional equipment or technical support required will incur extra charges, which the client is responsible for paying in advance of the event. -
Responsibility for Damage:
The client will be liable for any damage caused to our equipment by other entertainers or their teams during the event. -
Sound Checks & Timings:
If other entertainers require a sound check or setup time, this must be scheduled in advance with NE4 DJs to ensure it fits within the agreed event schedule.
✅ Overtime Requests
Any requests to extend performance time on the day of your event are subject to NE4 DJs’ availability and additional charges. To guarantee overtime and a better rate, please pre-book all overtime requests. The rate for overtime pre-booked is £50 per hour.
If overtime is requested on the day of the event, it is subject to NE4 DJs’ availability and will be charged at £50 per 30 minutes, payable on the spot in cash.
✅ Music Requests & Key Moment Songs

While NE4 DJs will consider general song requests, we reserve the right to decline requests that are inappropriate or do not fit the agreed style of your event.

All song requests, including background music, freestyle dance tracks, and songs for key moments (such as entrances, ring exchange, cake cutting, first dance, rukhsati etc), must be submitted at least 7 days before your event to ensure they are prepared and available for your day.

You can send us your song requests via email or WhatsApp, with YouTube links preferred. Please ensure the links are for the exact version of the song you want, as we will play the version you provide.

Additionally, you may request access to Vibo — our music and timeline planning app — where you can easily add and manage all your song requests. Just ask us for access.

NE4 DJs cannot guarantee the availability of last-minute or on-the-day song requests.
✅ Custom Edits or Medleys
Custom edits or medleys for rehearsed dance performances must be provided at least 7 days before your event. You are responsible for checking all files for accuracy and quality before sending. Please note that NE4 DJs does not offer a custom edit or medley creation service.
✅ File Format Requirement
All music files should be provided in high-quality MP3 or WAV format via email or WeTransfer.
Please upload your files at www.wetransfer.com/upload and enter our email address (info@ne4djs.com) in the recipient field. Once the upload is complete, we will receive an email with the download link, and you should also receive an email confirmation once your files have been transferred successfully.
NE4 DJs is not responsible for playback issues caused by poor file quality or incompatible file formats.
✅ Timeliness Clause
NE4 DJs cannot guarantee the inclusion of music or edits provided later than 7 days before your event.
✅ Outdoor Events & Weather
For outdoor events, you are responsible for providing adequate weather protection for equipment and performance areas. NE4 DJs reserves the right to pause or stop the performance if conditions become unsafe for equipment or personnel.
✅ Food & Drink
As the DJ team often works long hours without breaks, we kindly request that food and drink be provided during your event. Inclusion in any catering is appreciated, and please ensure your staff are informed so arrangements run smoothly.
✅ Indemnity
You agree to indemnify NE4 DJs against any claims, costs, or damages arising from your or your guests’ actions during your event.
✅ DJ Liability
NE4 DJs will take all reasonable care to ensure the safety of equipment and guests during your event. However, NE4 DJs will not be liable for:

Any damage to the venue caused by third parties (guests or other suppliers)

Any injury to guests resulting from factors beyond our control

Any failure to perform if equipment is damaged by guests or if venue-related issues prevent performance
